仕事の内容

Our Client is a well-established Japanese Law firm and they are currently looking for a driven Secretary (Japanese speaking) to support native Japanese clients and stakeholders in the Singapore office.  
The Responsibilities:
•	Provide secretarial and administrative support to assigned lawyers and senior executives, including basic document preparation, scheduling meetings, and managing correspondence
•	Assist in translating documents and communications between Japanese and English when necessary
•	Manage office supplies, ensure office operations run smoothly, and maintain a professional office environment
•	Handle travel arrangements, such as flight bookings, hotel reservations, and visa applications
•	Support in organizing internal and external events and meetings
•	Perform basic clerical duties including data entry, filing, and photocopying
•	Assist with managing legal documents and liaising with external vendors when needed

The Requirements:
•	Proficiency in both Japanese and English (spoken and written) is required as you will be liasing with native Japanese clients and stakeholders 
•	Strong organizational and multitasking abilities.
•	Open to non-experienced candidates with a willingness to learn and grow
•	Detail-oriented, with excellent time management skills and the ability to prioritize tasks effectively

The Responsibilities: • Compile monthly Ageing reports for following up with customer and month end report submission. • Follow up with customer on the long outstanding payment by sending email or via phone call. • Submit any required invoices, Statements of Accounts (SOA) and any supporting documents as per customer request. • Co-ordinate with other dept. on all matters related to outstanding payment issues. • Prepare a Letter of Demand (LOD) for the customer when necessary. • Cheque collection from customer. • Prepare meeting of minutes. • Report to the superior on all matters relating to the money collection. • Carry out any other duties as assigned by the superior. • Keep proper records and filing system for money collection. • Ensure that all data and information are kept confidential. • Ensure compliance with Environmental Policy, reduction of waste and prevention of pollution. The Responsibilities: • Handle a large number of shipping documents, making sure everything is accurate and ready for audits • Make sure all shipping documents (especially those from our bonded partner in Thailand) are correct, filed properly, and matched with internal systems for sales and purchase records • Review and check invoices (non-trading and payment-related) before sending them to the accounting team • Ensure that original signed Navision invoices are sent to the right people when needed • Double-check monthly insurance reports before submitting them to accounting • Verify freight invoices (billed in Singapore) to ensure they are accurate and paid on time • Confirm that GST (tax) classifications are correct before reporting them to accounting • Follow up on overdue payments with relevant teams and help update payment schedules • Keep track of office equipment and other assets, and assist with annual reports • Solve recurring payment issues by coordinating with the team and implementing solutions • Support new projects or process improvements as assigned by your manager The Requirements: • Min. Diploma or ‘A’ level from a recognised tertiary institution • Min. 3 years of sea import working experience • Basic knowledge of trade compliance, managing payment invoicing, or experience. • Receptive to working with a diverse team of differing cultures and nationalities (internal and external) • Intermediates excel, PowerPoint presentation & reporting • Ability to travel (mainly ASEAN countries) - Once a year • Be flexible and open to taking on new tasks when needed.
