General Role Description
To take care of entire Administration, facilities and arrangements for Japanese expats in Bengaluru. Be a facilitator in providing various services for the employees in Bengaluru office / factory. Work as a part of the support function to deliver administrative support.
Job Responsibilities
– Provide assistance for Japanese business travellers and expatriate, including guidance and/or arrangement of visa, air plane ticket, taxi, eating facility, commuting, hotel and accommodation.
– Interpret at (call) conferences between English and Japanese.
– Translate documents or e-mail between English and Japanese.
– Secretarial work for Japanese expatriate.
– Facilitate House Keeping and Security
– Maintain the log of attendance and prepare reports as necessary to share with the head office
– Oversee regular maintenance of the premises
– Evaluate and Develop Vendors for various services
– Coordinate billing and payments of vendors.
– Facilities Administration
– Provide employees with necessary facilities to carry out the business smoothly
– Asset Management
– Travel Desk – Help / Assist employees in all kinds of travel and transport needs.
– Prepare Visa Invitation Letters for Inward Travel of delegates
– Prepare Visa Documentation for Outward travel of employees
– Office Administration
– Be a single point of contact for all the administrative issues in Bengaluru Office
– Prepare and maintain registers for Assets, Consumables, Communication Facilities, IT Assets and Vendors
Minimum Qualifications
– College graduate
– Should be able to communicate in English and Japanese (Written and Oral)
– 3 year of experience in Facilities, Administration or Human Resources
– Demonstrated knowledge of managing Small to medium size offices
– Proficiency in Microsoft Excel, Word, PowerPoint
– Demonstrated successful and positive leadership, interpersonal, organizational, administrative, and communication skills
– Demonstrated successful working relationships with customers , suppliers, and other internal/external contacts
Preferred Qualifications
– Prior experience in working with Japanese company and experience in communication in Japanese language.
– Demonstrated experience Administrative Function with or without Experience of HR Function
– Demonstrated experience in managing multiple vendors
