JOB DUTIES

  • Report to Vietnamese HR Manager (female, 40s), dotted line to Japanese General Manager (male, 50s)
  • Assigned to Business Administration Department
  • Job Responsibilities:
  • Provide administrative and functional support to General Manager and expats
  • Respond to inquiries and problems in an efficient, courteous and professional manner to achieve the highest guest satisfaction while complying with all Company policies
  • Involve in top confidential information and request high compliance in codes of ethics and conduct
  • Maintain general filing systems for General Manager and expats; control all data, information, contact records, documents and reports…
  • Prepare files, reports, correspondence and other relevant business documentation
  • Assist in travel planning, including but not limit to air tickets, accommodation, agenda, payment report, scheduling…
  • Support General Manager and expats in working with relevant departments to complete internal procedures and processes which include but not limit to work permit, visa and resident permit, schooling, housing contract…
  • Handle general inquiries and other tasks as per requested by Line Manager

JOB REQUIREMENTS

  • Desirable Background and Experience:
  • Qualification: Bachelor Degree; abroad studying and graduation is preferred
  • Language skill(s): Japanese fluent AND English business level
  • Proficient in MS Office tools
  • From 5+ years of experience working as Admin cum Secretary to General Manager at foreign companies (Japanese ones are preferable)
  • Excellent administrative and organizational skills for document filing, note taking, travel planning, meeting scheduling, invoice processing
  • Able to handle difficult and stressful situations with tact and diplomacy
