Job Description

<Job Responsibilities>
=Director Support Task
・Schedule Coordination
   - Create business trip schedules for visitors
   - Arrange appointments with internal teams and clients
   - Reserve meeting rooms and check travel routes
・Transportation & Accommodation Support
   - Assist with hotel bookings (when necessary)
   - Arrange airport pickup (company car / Grab)
   - Coordinate transportation for internal and external meetings
・Meeting & Business Discussion Preparation
   - Print and prepare meeting materials
   - Provide interpretation (Japanese ⇄ , Vietnamese)
   - Take meeting minutes
・Meal & Hospitality Arrangements
   - Make restaurant reservations
   - Attend business dinners and provide interpretation

= 2. General Affairs
・Office Supplies & Asset Management:
   - Procure, distribute, and monitor office supplies and company assets.
・Office Administration:
   - Manage reception, meeting rooms, mail handling, cleaning, and security services.
・Company Vehicle Management:
   - Coordinate vehicle schedules and arrange maintenance.
・Occupational Safety & Fire Prevention:
   - Coordinate inspections and regular safety/fire-prevention training.
・Legal Support:
   - Draft, manage, and archive administrative documents and various permits.
・Other General Affairs tasks as assigned.

Job Requirement

<Necessary Skill / Experience >
- Education: Bachelor's degree
- Gender: Female 
- Age:25‐33
- Language: 
   - Japanese Business Level (over N2 Level, mainly for speaking) 
   - English Intermediate level 
- Experience:
  - *Important* Experience in supporting and coordinating business travelers from Japan.  
  - More than 3 years of experience in a Japanese company in roles such as Manager Assistant, Back-office staff, or Interpreter.
   *Accounting or HR experience is not required.
- Personality
   - Must be someone who can provide thoughtful and considerate support to Japanese visitors, with flexibility and sincere, attentive communication skills.
 
<Preferred experience>
- Experience 
   - Extensive experience in General Affairs within a Japanese company.
