Job Description
<Job Responsibilities> 1. General Affairs • Analyze and manage the administrative budget. • Manage company assets assigned to the Admin Department. • Oversee office administration, including purchasing and inventory control of office supplies, consumables, uniforms, and work equipment (laptops, mobile phones, SIM cards, etc.). • Oversee company transportation services (shuttle buses, taxi cards), including issuance, usage monitoring, monthly reconciliation, and payment processing. • Oversee travel and accommodation arrangements for business trips. • Oversee client visits, ensuring proper logistics, meeting preparation, and hospitality. • Supervise subcontractors to ensure service quality and compliance with company standards. • Support expatriate services, including visas, work permits, temporary residence cards (TRC), housing, and company car arrangements. • Oversee the maintenance and control of company documents, records, and contracts to ensure proper filing, confidentiality, and compliance. 2. Human Resources • Handle full-cycle recruitment (posting jobs, screening CVs, arranging interviews). • Oversee HR operations, including recruitment, onboarding, timekeeping, and payroll coordination. • Support the implementation and monitoring of HR policies, regulations, and labor-law compliance. Handle updates to corporate licenses (e.g., IRC, ERC) • Support employee relations and assist management in resolving workplace issues. • Manage employee training, performance evaluation, and welfare programs. • Support the effective and fair implementation and administration of the Performance Evaluation System. • Prepare periodic HR reports and submit them to management and/or authorities as required. 3. Others • Participate in internal audits and external inspections as required. • Support company events (periodic health checks, company trips, year-end party, etc.). • Support management in the continuous improvement of GA–HR processes and cost efficiency • Perform other duties as assigned by the line manager.
Job Requirement
<Necessary Skill / Experience > ・Education: Bachelor's degree in Business Administration, Management, or a related field ・Language: English - Business Level (Good command in both written and spoken communication) ・Experience: Minimum 2-3 years of experience in GA and HR, including at least 1 year in a supervisory or team leader role. ・Knowledge: • Solid understanding of Vietnamese labor laws, legal compliance/procedures, and administrative practices. • Familiar with vendor management and administrative budgeting. • Knowledge of office management, procurement, and facility management. ・Skills: • Strong organizational and multitasking skills. • Good leadership communication and interpersonal skills. • Proficiency in Microsoft Office (Word, Excel, PowerPoint). • Attention to detail, responsibility, and a service-minded attitude. <Preferable Skill / Experience> ・Experience in a manufacturing or multinational company is preferred. ・Knowledge of visa/work permit processes for expatriates is an advantage. ・Japanese language ability is an advantage.
