Job Description


<Job Responsibilities>
● Calendar Management
- Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritize and adjust scheduling based on urgency, availability, and importance.
● Communication Support
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Manage and screen emails, phone calls, and other communication channels, ensuring timely and professional responses.
- Prepare and edit correspondence, reports, and presentations for the CEO.
● Travel Coordination
- Plan and coordinate complex domestic and international travel, including flights, accommodations, itineraries, and logistics.
- Ensure all travel arrangements align with the CEO's preferences and requirements.
● Meeting & Event Coordination
- Organize and coordinate meetings, conferences, and events for the CEO, both internally and externally.
- Prepare meeting materials, agendas, and necessary documents in advance.
● Confidentiality & Discretion
- Handle sensitive and confidential information with the utmost discretion.
- Manage confidential projects and tasks as assigned by the CEO.
● Task & Project Management
- Support the CEO in project management and the execution of key business initiatives.
- Monitor deadlines, track progress, and ensure timely completion of assignments.
● Office Management & Supplies
- Oversee office supplies and equipment, ensuring the CEO’s workspace is organized and efficient.
- Assist with day-to-day office operations as needed.
● Liaison & Relationship Management
- Build and maintain strong relationships with key internal and external stakeholders on behalf of the CEO.
- Represent the CEO's interests and act as a liaison when necessary.

Job Requirement

<Necessary Skill / Experience >
- At least 1 year experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting management/ C-level executives.
- Experience managing complex schedules, travel arrangements, and confidential information.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Conversational High to Business level in English language (coordination, documents work, project support etc.)
- Conversational High to Business level in Chinese Mandarin language (report to Chinese CEO, other works)
- Proficiency in MS Excel, MS Office and Google Workspace.
- Flexibility to occasionally work outside regular hours, depending on the CEO’s schedule.
- Willingness to travel when necessary. (transportation charges can be reimbursed)

- Experience in Chinese company
- Bachelor’s degree in business administration, Communications
- HSK Certificate holder
