Job Description

<Expectation>
  - This position handles a wide range of back-office tasks, including accounting, sales administration, HR, and general affairs. As this is a small office, flexibility to take on tasks beyond the initial scope is required.
  - In particular, accounting knowledge, skill, and experience are highly required. The person in this role will not only handle daily accounting tasks but also review financial statements prepared by the accounting firm and prepare quarterly financial reports.

<Job Responsibilities>
・Accounting and Finance
   - Manage payments and collections, and plan cash flow.
   - Prepare necessary data and documentation for financial statement creation.
   - Review and provide feedback on financial statements prepared by the accounting firm.
   - Prepare quarterly financial reports based on three months of financial statements and report to the Japan headquarters (in Japanese or English).
   - Issue invoices and coordinate with external accounting consultants.

・Sales Administration / Business Support
   - Handle back-office operations related to sales activities, including sales management, procurement, inventory control, and accounts receivable management (billing and collection).
   - Collaborate with the sales department for monthly, quarterly, and annual closing operations.
   - Manage purchase orders, prepare contracts, arrange product orders and inventory shipments, coordinate with customs brokers, and schedule with construction companies.
   - Handle EPE customs clearance procedures.

・HR and Labor Management
   - Conduct recruitment activities, payroll calculation, and HR data management.
   - Manage visa and work permit (WP/TRC) applications and renewals for Japanese expatriates (preferably handled in-house without using an external agent).

・General Affairs
   - Manage office facilities, company vehicles, and fixed assets.
   - Provide overall administrative support and ensure smooth daily office operations.

・Reporting and Staff Management
   - Prepare and submit daily sales progress and project progress reports as requested by clients.
   - Supervise and give instructions to back-office staff, monitor task progress, and promote overall operational efficiency.

・販売管理・営業サポート業務
 - 営業サポート業務(売上管理、調達、在庫管理、請求・債権管理など)
 - 受注対応(PO対応)、契約書作成、発注手配、在庫出荷・通関業者との調整、施工会社とのスケジュール調整
 - EPE通関処理の対応

・人事・労務管理業務
 - 採用活動の実施、給与計算、人事データ管理
 - 駐在日本人社員のビザおよびWP/TRC取得・更新業務

・総務関連業務
 - 事務所・車両・固定資産の管理
 - オフィス全体の運営サポートおよび日常業務の円滑化

・レポーティング・マネジメント業務
 - 日次の売上進捗や顧客依頼案件の進捗レポートの作成・報告
 - バックオフィススタッフへの指示出し、進捗管理、業務全体の効率化推進

Job Requirement

<Necessary Skill / Experience >
・Education: Bachelor's Degree and above
・Age: 35-45 years old
・Gender: Females preferred
・Language Skills: Japanese - Business Level 
・Experience
   ・ Over 5 years of back-office experience focused on accounting at a company handling tangible products
     - Must have the following practical accounting and back-office experience:
       - Knowledge and experience sufficient to understand, review, and point out issues in financial statements
       - Experience in assisting with or analyzing quarterly and annual financial reports
       - Sales administration experience, including order management, invoicing, and billing tasks
       - General HR and administrative experience
    ・ Have staff management experience



・Experience
 ・Over 5 years of experience in overall back-office operations, mainly accounting, at a Japanese trading or sales company
     - Especially candidates who have the following experience:
       - Knowledge and experience to understand, review, and point out issues in financial statements
       - Experience in supporting the preparation or analysis of financial reports, such as quarterly and annual reports
       - Sales administration experience, including sales management, order processing, and invoice issuance
       - Experience in HR and general affairs operations

<Preferred Skills / Experience>
- Speaking English - intermediate level
- Experience in working with accounting firms or external audits
- Experience working for Japanese manufacturers or trading companies
- Understanding of, or willingness to learn about, customs procedures and visa/WP/TRC application processes
