Job Description
<Job Responsibilities> Support general affairs and administration tasks at the office to ensure the smooth operation of office management and internal coordination. * Specific work content : A) Translation and documentation management • Translate documents (Japanese – English – Vietnamese) • Maintain company records and handle internal administrative procedures B) Office operation support • Arrange company cars, hotels, and business trips • Manage office supplies, drinking water, and office assets, and handle related issues • Manage and troubleshoot photocopiers • Ensure office doors are properly opened/closed according to company rules C) Reception and internal communication • Welcome visitors and answer phone calls • Distribute incoming parcels and company bulletins • Support organisation of internal company events D) Coordination with building management and suppliers • Liaise with Building Management for notices and issue resolution • Register fingerprints/facial recognition for the attendance system • Register monthly parking cards and create employee ID cards • Draft/manage contracts with suppliers, monitor execution and acceptance • Collect VAT invoices and prepare payment requests E) Other general affairs tasks as assigned by management
Job Requirement
<Necessary Skill / Experience> ・Education: University Graduation, Bachelor’s Degree ・Age: under 25 years old ・Gender: Any ・Language: Japanese at Business level ( equivalent to JLPT N1) ・Experience: Open for freshers OR having work experience as an Assistant, GA staff, and Interpreter in any industry. <Skill / Experience> • Personality: Agile, eager to learn, good listener, proactive, extroverted, cooperative, supportive • Soft skills: Teamwork, multitasking, time management, communication skills <Preferable skills > : - Can speak English well
