Job Description

<Position Objective/Expectation>
To provide comprehensive administrative support for daily operations across finance, HR, general administration, and sales in the Hanoi office, ensuring smooth office functioning and strong support to management and other departments.

<Job Responsibilities>
- Execute payment orders on the Bank system (Maker role) for both domestic and overseas payments.
- Prepare documents for an outsourced accounting firm's bookkeeping.
- Create Commercial Invoices.
- Check invoices from vendors and create invoice content for customers.
- Support documentation processing for Foreign Contractor Tax (FCT).
- Scan and archive physical and digital documents.
- Manage courier/express delivery logs (Inbound & Outbound) in Hanoi.
- Handle office procurement (Stationery, water, basic office supplies).
- Arrange annual health check-ups for both Hanoi and HCM-based staff.
- Support Admin HCM with paperwork for Japanese expat staff based in Hanoi.
- Manage the contract list and coordinate the transfer of all company contracts to Hanoi for centralized archiving.
- Support the Sales team in preparing weekly sales reports.

Job Requirement

<Necessary Skill / Experience>
- <Necessary Requirement> 
- Education: Bachelor’s or College degree in Business Administration, Accounting, Languages, or related fields.
- Experience: At least 1 year of working experience as an Admin Assistant, General Admin, or Sales Admin.
- Language: Intermediate English (Capable of reading and handling business documents/invoices).
- Technical skills: Proficient in standard Microsoft Office functions. Experience with GA and other workflow management systems is a big plus.
