1. Back-office tasks
• Handle general back-office tasks in coordination with team members.
(Welcome clients and visitors; manage telephone calls, incoming faxes/letters/newspapers, and outgoing correspondence to ensure efficient distribution.)
• Oversee general office administration, including ordering stationery, namecard and procuring IT equipment, furniture, gifts, and other office assets.
• Monitor, review, and control vendor payment requests.
• Prepare administrative reports as requested by the line manager.
• Manage business travel arrangements for employees, including flight tickets, accommodation, allowances, visas, travel insurance, taxis, and necessary equipment.
• Arrange and manage meeting room bookings.
• Coordinate with the building management office to address facility issues, manage motorbike parking registration and fee collection/submission, and liaise with technicians for technical problems.
• Collaborate with back-office team members to organize internal events.
• Provide IT support for the Hanoi Office, including preparing IT reports, coordinating support for issues related to computers, email, and internal systems, and setting up equipment for staff (will be trained when joining)
2. Compliance:
• Maintain transparent operations to enhance compliance
• Explain & support HN team members for their understanding & action to comply with RGF compliance rule, RGF policy.
3. Supporting Tasks
• Responsible for posting JO on recruiting channel (RGF website and jobboards)
• Update & follow candidates joining list, send a reminder email to consultants & follow up to issue invoices
• Manage company's social media channels (Facebook, LinkedIn, Tik Tok,etc.) : Job posting and inbox message's reponse
• Working with HQ Marketing Team on the Content (sharing internal event and activities image and short content)
4. Intern management
• In charge of recruitment of Hanoi Intern Management activity of Intern by monitoring the process to make sure intern follow the activities
5. Other tasks assigned by manager/leader
<Necessary Skill / Experience >
・ Education Background: Bachelor's Degree
・Gender: Female
・ Age: 23 - 28
・ English Business Level
・Have at least 3 years of working experience as an administrative staff or general affairs staff.
・Can think logically & work individually
・Good at MS Office (MS Excel, Word, PPT, MS app), basic design material (e.g. Canva), basic IT knowdlege
・Can work under high pressure & handle multiple tasks at the same time
・Can join within Apr 2026
<Preferable Skill / Experience>
・Have working experience in Japanese company is a plus
