Job Description
- Provide comprehensive secretarial and administrative support to the expatriate - Manage the expatriate's calendar, appointments, meetings, and travel arrangements - Prepare meeting agendas, presentation materials, reports, and minutes of meetings - Handle incoming and outgoing correspondence, emails, phone calls, and other communications - Maintain confidential documents, records, and filing systems with a high level of accuracy and discretion - Coordinate internal and external meetings, including arranging meeting facilities and logistics - Support daily General Affairs operations to ensure efficient office administration - Coordinate with external vendors, service providers, building management, and other business partners as required - Prepare administrative documents, reports, letters, and company documentation - Maintain and organize administrative records and filing systems - Support the implementation of company policies, procedures, and internal administrative processes - Assist with company events, business visits, and other administrative activities when required - Ensure administrative activities comply with company policies and procedures - Coordinate with internal departments to support business operations - Perform other secretarial, administrative, and General Affairs duties assigned by management
Job Requirement
- Bachelor's degree from any major (reputable universities) - Fluent in both written and spoken English - At least 2 years of experience in secretarial, executive assistant, administrative or General Affairs function in Japanese companies - Experience in supporting senior management or expatriates - Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and other office productivity tools - Excellent communication and interpersonal skills
