Job Description

<Job Responsibilities>
A. Sales Administration & Customer Support
• Prepare quotations, contracts, sales orders, and other sales-related documents.
• Support customers regarding order processing, product information, delivery schedules, and after-sales inquiries.
• Maintain and update customer databases, sales records, and contract documentation.
• Handle customer requests and coordinate internally to ensure timely responses and issue resolution.

B. Order Management & Sales Coordination
• Monitor the entire order fulfillment process from order receipt to delivery completion.
• Coordinate with logistics, warehouse, production, accounting, and other departments to ensure smooth operations.
• Track inventory availability and delivery schedules.
• Prepare sales reports, forecasts, and performance summaries for management review.
• Ensure proper filing and traceability of sales-related documents.

C. Documentation & Internal Coordination
• Maintain and manage sales SOPs, templates, and document control systems.
• Support meetings, customer visits, exhibitions, marketing events, and internal activities.
• Coordinate invoice issuance and payment follow-up with the accounting team.
• Facilitate communication among departments to ensure efficient business operations.
• Support ad-hoc administrative tasks assigned by management.

Job Requirement

<Necessary Skill / Experience>
- Education: Diploma or Bachelor's degree in Business Administration, Accounting, Logistics, or related fields.
- Language: English - Business Level
- Experience: At least 2 years of experience in Sales Admin, Sales Support, Customer Service, or a similar role.
- Proficient in Microsoft Office (especially Excel, Word, and PowerPoint).
- Strong communication, coordination, and interpersonal skills; well-organized, detail-oriented, and able to manage multiple tasks; customer-focused with a strong sense of responsibility; proactive, positive, good problem-solving skills, and ability to work with cross-functional teams.
 
<Preferable Skill/ Experience>
- Experience in FMCG, food manufacturing, or trading industry is preferred.
- Japanese language skill is a plus.
